Welcome to the Physiobot® website and Physiobot Tracker App (collectively, “Physiobot” or “the Service”), wholly owned by ThePhysiobot Limited (Company Registration Number 16071111) (“Physiobot®”, “we”, “us” or “our”). Physiobot is designed to provide users with general information, guidance, and tools to support rehabilitation and wellbeing. Physiobot does not diagnose medical conditions or replace consultation with a healthcare professional. Users should not rely on Physiobot as a substitute for professional medical advice, diagnosis, or treatment.
Please read and review these Terms of Use carefully carefully before accessing or using the website or App. By accessing or using the Service, you acknowledge that you have read, understood, and agreed to these Terms of Use. If you do not agree, you may not access or use the Service.
- Use of the service. The information and tools provided through the Service are for general informational, educational, and rehabilitation support purposes. Certain sections are intended for particular audiences including employees, customers, shareholders, members of the healthcare community, and the general public. Your access to and use of the Service is subject to this Agreement. By accessing and using the Service, you accept, without limitation or qualification, these Terms of Use.
- Eligibility. You must be at least 18 years of age to register for an account on the Physiobot Tracker App. By registering, you confirm that you are 18 years of age or older. We reserve the right to terminate accounts where we have reason to believe the age requirement has not been met. The Service is intended for users located in the United Kingdom. Use of the Service from other jurisdictions is at the user’s own risk and must comply with local laws.
- The Physiobot Tracker App
- Account Registration. To access the Physiobot Tracker App, you must create an account by providing accurate, current, and complete information. You are responsible for maintaining the confidentiality of your login credentials and for all activities that occur under your account. You must notify us immediately of any unauthorised use of your account at support@thephysiobot.com.
- Subscription Tiers. The Physiobot Tracker App operates on a paid subscription basis. The following tiers are available:
- Standard Subscription: Provides access to the core features of the Physiobot Tracker App, including exercise tracking, phase progression, daily check-ins, progress charts, and access to PhysioBot rehabilitation programmes.
- Premium Subscription: Includes all Standard features plus access to the Premium Programme Builder, the ability to create and share custom rehabilitation programmes, and any additional features designated as Premium in future updates.
- Current subscription pricing is displayed at the point of purchase within the App and on our website. Prices are subject to change with reasonable advance notice. Continued use of the Service after a price change constitutes acceptance of the new pricing.
- Billing and Payment. Subscription fees are charged in advance on a recurring basis (monthly or annually, depending on the plan selected). Payments are processed securely via Stripe, our third-party payment provider. By subscribing, you authorise us to charge the applicable fees to your chosen payment method on the billing cycle you selected.
If a payment fails, we will notify you and may suspend access to your account until payment is resolved. You are responsible for ensuring your payment details are kept up to date. - Cancellation and Refunds. You may cancel your subscription at any time via the App or by contacting support@thephysiobot.com. Cancellation will take effect at the end of the current billing period, and you will retain access to the Service until that date. We do not offer refunds for partial billing periods, except where required by applicable UK consumer law. Under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, you have a 14-day right to cancel a new subscription from the date of purchase if you have not yet begun using the Service. If you begin using the Service within this period, your right to cancel may be affected; we will inform you of this at the point of purchase.
- Free Trial. Where a free trial is offered, it will be clearly communicated at the point of sign-up. At the end of the free trial period, your subscription will automatically convert to a paid plan unless you cancel before the trial ends. You will be notified in advance of any charge.
- Changes to the Service. We reserve the right to modify, suspend, or discontinue any part of the Service at any time. We will provide reasonable advance notice of material changes where practicable. Continued use of the Service after changes have been made constitutes acceptance of those changes.
- Data Protection and UK GDPR Compliance.
- Data Controller. ThePhysiobot Limited is the data controller for personal data collected through the Service. Our registered address is on file with Companies House under registration number 16071111.
- Personal Data We Collect. When you use the Service, we may collect and process the following categories of personal data:
- Account data: name, email address, date of birth, password (hashed)
- Health and rehabilitation data: exercise logs, pain scores, daily check-ins (pain, mood, sleep, return-to-work status), phase progress, adherence data, milestones, and rehabilitation programme details
- Usage data: pages visited, features used, session duration, device type, browser information, and anonymised analytics data collected via Google Analytics (including IP address, which is anonymised before storage)
- Payment data: billing information is processed by Stripe and is not stored on our systems; we retain only a Stripe customer reference
- Communications: any correspondence you send to us
- Special Category Data. Health and rehabilitation data constitutes “special category” personal data under the UK GDPR. We process this data on the basis of your explicit consent, which you provide by accepting these Terms and using the health tracking features of the App. You may withdraw this consent at any time by deleting your account or contacting us, though this will affect your ability to use the Service.
- Lawful Basis for Processing. We process your personal data on the following lawful bases:
- Contract: to provide the Service you have subscribed to and to manage your account
- Explicit consent: for special category health data, for Google Analytics cookies and tracking, and for any optional marketing communications
- Legitimate interests: to improve the Service, prevent fraud, and maintain security, where these interests are not overridden by your rights
- Legal obligation: where required by UK law
- How We Use Your Data. We use your personal data to:
- Provide, operate, and maintain the Service
- Manage your account and subscription
- Enable exercise tracking, phase progression, and progress reporting
- Send service-related communications, including account verification, subscription confirmations, and technical notices
- Send marketing communications where you have given consent (you may opt out at any time)
- Improve and develop the Service
- Comply with legal obligations and protect against fraud
- Data Storage and Security. Your personal data is stored securely using Google Firebase (Firestore), hosted in the European Economic Area (EEA), specifically the europe-west2 (London) region. We implement appropriate technical and organisational measures to protect your data against unauthorised access, loss, or destruction, including encryption in transit and at rest, access controls, and regular security reviews. While we take reasonable steps to protect your data, no system is completely secure. You are responsible for safeguarding your own login credentials and device security.
- Data Retention. We retain your personal data for as long as your account is active or as necessary to provide the Service. If you delete your account, we will delete your personal data within 30 days, except where we are required to retain it for legal or regulatory purposes (for example, financial records relating to subscriptions, which we retain for 7 years in accordance with UK tax law).
- Your Rights Under UK GDPR. You have the following rights in relation to your personal data:
- Right of access: to request a copy of the personal data we hold about you
- Right to rectification: to request correction of inaccurate or incomplete data
- Right to erasure: to request deletion of your data in certain circumstances
- Right to restrict processing: to request that we limit how we use your data
- Right to data portability: to receive your data in a structured, commonly used format
- Right to object: to object to processing based on legitimate interests or for direct marketing
- Rights related to automated decision-making: we do not make solely automated decisions that significantly affect you

- Third-Party Processors. We share your data with the following third-party processors who act on our behalf:
- Google Firebase: authentication, database storage, and app security (Google LLC, data processed in EEA)
- Stripe: payment processing (Stripe Payments Europe Ltd, data processed in EEA)
- Google reCAPTCHA: spam and bot protection on account registration (Google LLC)
- Google Analytics: website and app usage analytics (Google LLC). Analytics cookies require your consent, which is collected via our Cookie Policy. You can opt out at any time via your cookie preferences or by installing the Google Analytics Opt-out Browser Add-on at https://tools.google.com/dlpage/gaoptout. IP anonymisation is enabled.
- All third-party processors are bound by data processing agreements and are required to handle your data in accordance with UK GDPR. We do not sell your personal data to third parties.
- International Transfers. Where data is processed outside the UK, we ensure appropriate safeguards are in place, including Standard Contractual Clauses or adequacy decisions, in accordance with UK GDPR requirements.
- Content. We will use reasonable efforts to include accurate and up-to-date information on the Service but make no warranties or representations of any kind as to its accuracy, currency, or completeness. You agree that access to and use of the Service and the content thereof is at your own risk. Physiobot® disclaims all warranties, express or implied, including warranties of merchantability or fitness for a particular purpose. Neither Physiobot® nor any party involved in creating, producing or delivering the Service shall be liable for any damages, including without limitation, direct, incidental, consequential, indirect or punitive damages, arising out of access to, use of, or inability to use the Service, or any errors or omissions in the content thereof.
- Medical Information and Regulatory Status. Physiobot is intended to provide guided support and general information for rehabilitation and wellbeing. It is not intended to diagnose, prescribe, or replace the clinical judgement of a healthcare professional. Users should not use the information or tools provided through the Service for diagnosing a health or fitness problem or disease. Users should always consult with a qualified healthcare professional for medical advice or information about diagnosis and treatment.
The Physiobot® symptom checker web application is a Class I medical device, regulated in the UK market by the Medicines and Healthcare products Regulatory Agency (‘MHRA’). The MHRA Reference Number for ThePhysiobot Limited is 33652. The Physiobot® is classified under GMDN Code 64275. - User Responsibilities. Users are responsible for their own health and should consult a qualified healthcare professional before beginning any exercise or rehabilitation programme suggested by Physiobot. Users must stop any activity that causes pain or discomfort and seek medical advice. By using the Service you confirm that you:
- Are at least 18 years of age
- Have provided accurate registration information
- Will use the Service only for lawful purposes
- Will not attempt to access another user’s account or data
- Will not attempt to reverse-engineer, copy, or distribute any part of the Service
- Will not upload or transmit harmful, offensive, or unlawful content
- Indemnification. You agree to indemnify, defend and hold harmless Physiobot®, its officers, directors, employees, agents, suppliers and third-party partners from and against all losses, expenses, damages and costs, including reasonable legal fees, resulting from any violation by you of these Terms of Use or any applicable law.
- Technology and Data Risks. While Physiobot takes reasonable steps to protect information, no system is completely secure. Users are responsible for safeguarding their own devices and internet connections when accessing the Service. We are not liable for losses resulting from unauthorised access to your account where such access results from your failure to protect your login credentials.
- Third-Party Websites and Links. The Service may contain links or references to other websites maintained by third parties over whom Physiobot® has no control. Such links are provided merely as a convenience. Physiobot® makes no warranties or representations of any kind as to the accuracy, currency, or completeness of any information contained in such websites and shall have no liability for any damages or injuries of any kind arising from such content or information. Inclusion of any third-party link does not imply an endorsement or recommendation by Physiobot®.
- Non-Confidential Information. Subject to any applicable terms and conditions set forth in our Privacy Policy, any communication or other material that you send to us through the Service by electronic mail or otherwise, such as questions, comments, or suggestions, is and will be deemed to be non-confidential. Physiobot® shall have no obligation of any kind with respect to such information and shall be free to use any ideas, concepts, know-how or techniques contained in such communication for any purpose whatsoever, including but not limited to developing, manufacturing and marketing products.
- Intellectual Property.
- Trademarks. All product names, whether or not appearing in large print or with the trademark symbol, are trademarks of Physiobot®, its affiliates, related companies, or its licensors or joint venture partners, unless otherwise noted. The use or misuse of these trademarks is expressly prohibited and may be in violation of copyright law, trademark law, and other applicable legislation. Physiobot® actively enforces its intellectual property rights to the fullest extent of the law.
- Copyrights. The entire contents of the Service, including the website and App, are subject to copyright protection. The contents may not be copied other than for non-commercial individual reference with all copyright or other proprietary notices retained, and thereafter may not be recopied, reproduced, or otherwise redistributed. Except as expressly provided above, you may not copy, display, download, distribute, modify, reproduce, republish or retransmit any information, text, or documents contained in the Service without the express written consent of Physiobot®.
- Cookies. The Service uses cookies and similar tracking technologies. Please refer to our Cookie Policy at https://www.thephysiobot.com/cookie-policy/ for full details of the cookies we use, their purpose, and how to manage your preferences.
- Governing Law and Jurisdiction. These Terms of Use and your use of the Service shall be governed by the laws of England and Wales. Any legal action or proceeding related to the Service or ThePhysiobot Limited shall be brought exclusively under the jurisdiction of the courts of England and Wales.
- Miscellaneous. If any provision of this Agreement is held to be unlawful, void, or unenforceable, then such provision shall be severable without affecting the enforceability of all remaining provisions. Physiobot® reserves the right to alter or delete materials from the Service at any time at its discretion. These Terms of Use constitute the entire agreement between you and Physiobot® in relation to your use of the Service and supersede all prior agreements.
